The following text uses masculine forms for the purposes of improved legibility only and applies to all genders.We herewith provide information on the processing of personal data by BÖWE SYSTEC GmbH and the rights available to applicants under data protection laws.
As part of the application procedure we process the following personal data:
- identity (e.g. name, surname, affixes, date of birth)
- work permit/residence permit, if applicable
- contact data (e.g. private address, telephone/mobile number, email address)
- qualifications (personal skills or proficiency)
- if applicable to the job offer: personal health issues
- references (e.g. report cards)
All personal data is usually collected during the initial application procedure, from the job application, the job interview and the personnel questionnaire. Third parties like job centers and employment agencies may provide additional data. We also process personal data available from public sources and collected with permission (e.g. from job-related networks).
We process personal data in accordance with the requirements of the EU General Data Protection Regulation (GDPR = DSGVO) and the Federal Data Protection Act (BDSG). Data is mainly processed for the purposes of recruitment as stipulated by Art. 88 para. 1 GDPR and § 26 para. 1 BDSG. Personal data is generally collected for the purposes of recruitment for the specific job offer responded to in the application. We reserve the right to consider an application simultaneously for similar open positions within the company. In such cases, a prior notification as required by Art. 13 para. 3 GDPR will be provided. Additionally, the processing of medical data may be required for the assessment of the working capacity of the applicant as stipulated by Art. 9 para. 2 h) GDPR and § 22 para. 1 b) BDSG. Applicants will only be admitted to our pool of applications subject to prior individual approval of the applicant. All potential applicants are hereby notified that we are required under the European Anti-Terror Regulations 2580/2001 and 881/2002 to synchronize all personal data with the so-called “EU terror-lists” to ensure that no funds or other economic resources are made available for terrorist purposes.
If a job application is successful, we transfer the application documents to the personnel file. Upon termination of employment, we will continue to the store all personal data as requested by law. There are certain obligations for keeping documents and records, stipulated, among others, by the German Commercial Code and the Tax Code, requiring storage of data for up to 10 years. Personal data may also be kept for as long as we can be held liable (statutory period of limitation is between three and thirty years). In the case that an application for employment is not successful, all related documents will be deleted at the latest six months after the conclusion of the application procedure, unless we have been given permission to keep the documents in our pool of applications.
Within our company, only those individuals and departments (e.g. contracting division, works council, representative body for employees with disabilities) will have access to the personal data, that are involved in the decision about the job application.
